User Settings - Import Users

Users can be imported into a plan's published users list from an external data file or from another BAI plan.

From an Excel File

Create an Excel file that contains, at a minimum, a row for each user being imported. The row must contain the email address, first name, last name, and profile name. Salary access (true/false) can also be included but is optional. If you are importing users through a master/sub plan, you will need to add rows for each plan and include the corresponding plan code for each sub plan. Assigning access to the master plan can be done by leaving the plan code value empty.

A publish plan user import template is available from the Documents and Templates page.

Enter Publish Plan > User Settings > Import

  1. Click the [Import] button, located below the User list.
  2. From the displayed radio buttons, choose External Data, and click [Next].
  3. Click [Browse] to locate and select the file from your computer or network.
  4. Click [Next] to begin the import process.
  5. At the top of the page, confirm the sheet name that contains the user list.
  6. Under Match Fields, select the columns in the Excel sheet that correspond to the system's fields.
  7. Once confirmed, click [Next].
  8. A confirmation page will appear, indicating the users being imported will be added to any already in the system. Click [Import Data] to initiate the import.

From an Existing Plan

After the user list has been imported for one plan, you can import that list for another plan:

  1. On the User Settings tab, press the [Import] button.
  2. Choose Import from Existing Plan.
  3. Select the plan's Company, Establishment, and Plan from the drop-down, and click [Next].

From the final screen, click [Import Data].
